Privacy notice.

This notice explains how Win Win Property Co Limited uses personal information when someone discusses, assesses or progresses a possible residential property sale with us.

Who is responsible

This notice relates only to the acquisition activity of Win Win Property Co Limited. It does not describe the separate property-management activities of another business.

Information we may use

Depending on how far a discussion progresses, this may include:

  • your name, contact details and correspondence with us;
  • the property address, ownership, expected price, condition and occupancy;
  • Home Reports, photographs, factor information and repair or compliance records;
  • tenancy and rental information where a property is occupied;
  • identity, title, funding and transaction information needed by professional advisers; and
  • notes of our assessment, valuation evidence and purchase decisions.

Please do not send identity documents, bank details or tenancy files through WhatsApp or Facebook. If they become necessary, we will agree an appropriate route for sharing them.

Why we use it and our lawful bases

  • To respond to your enquiry and assess a possible purchase, including steps you ask us to take before a possible contract.
  • For our legitimate interests in evaluating, funding and acquiring property, communicating with sellers and keeping proportionate records.
  • To comply with legal and regulatory obligations, including those relating to property transactions, tax and prevention of fraud or money laundering.
  • To establish, exercise or defend legal claims where necessary.

There is no obligation to provide information for an initial discussion. If a transaction progresses, some information will be needed to obtain advice, comply with the law or conclude a contract. Without it, the purchase may be unable to proceed.

Where information comes from

We normally receive information from you. We may also use relevant public records and property listings, or receive information from an authorised agent, solicitor, surveyor, lender, broker, factor or other party involved in the proposed transaction.

Who we may share it with

Where necessary and proportionate, information may be shared with our solicitors, lenders, brokers, valuers, surveyors, insurers, contractors, professional advisers and communications or hosting providers. We may also disclose information to regulators, tax authorities, courts or law enforcement where legally required.

We will not circulate your property to investor groups. We will not introduce it to another prospective buyer unless you have expressly agreed to that first.

International processing

If you contact us using WhatsApp or Facebook, or when our website is hosted or supported, the relevant provider may process information outside the UK. Those providers are responsible for applying an appropriate transfer mechanism and safeguards under their own privacy terms. You can contact us by post if you prefer not to use those services.

How long we keep it

Our normal retention periods are:

  • initial enquiries that do not progress: up to 12 months after the last contact;
  • assessments or due diligence that do not complete: normally up to 3 years; and
  • completed transaction, legal and tax records: normally at least 6 years.

We may retain information longer where required by law, a professional adviser, an active dispute or a legitimate need to establish or defend a claim. Information that is no longer needed is deleted or anonymised.

Your rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability or object to particular uses. You may also complain to the Information Commissioner’s Office. We do not use personal information to make solely automated decisions about whether to buy a property.
